Know the windows.
Plan the work before them.
These dates do different jobs. A typical window helps you plan; only the applicable official call sets your deadline.
12–15 months before entry
Map programmes, language requirements and scholarship eligibility. Start DAAD checks before relying on a summer admission deadline.
Typical winter-entry cycle
Some standard deadlines fall around 15 July; international master’s and scholarship deadlines can be much earlier.
Typical summer-entry cycle
15 January is common for some programmes; confirm whether your course actually offers summer entry.
At least 8 weeks before a VPD deadline
uni-assist recommends allowing this lead time for a VPD request. The university still needs its own application on time.
After admission and funding decisions
Complete enrolment conditions, accepted financial evidence, health insurance and the relevant visa process.

The budget.
The documents. The details.
Tuition and semester charges
Do not assume every German degree is tuition-free. Check your exact university, state, nationality category and course fee schedule.
Visa financial evidence
The government page reviewed for this guide lists €11,904 for the 2026 study-route blocked-account option. Other accepted proof can include a scholarship or declaration of commitment; check the current consular instructions.
Cash flow
Budget separately for the housing deposit, travel, insurance, semester contribution, account charges and expenses before a stipend starts.
Your starting document checklist
Use this to organise the file; the provider’s current requirements determine the final list.
- Passport and consistent legal name across your records.
- Degree or school-leaving certificate, full transcripts and grading scale; provisional evidence only where accepted.
- Programme-specific proof of language ability, including any approved waiver in writing.
- Academic CV, tailored statement and references where requested.
- Funding evidence and a personal budget kept separate from the admission documents.
- VPD, certified copies, translations or country-specific verification such as APS only when your qualification route requires them.
- Course descriptions / credit evidence where prerequisite matching is required.

One clear step
at a time.
Use the checklist to keep your own place. These are preparation milestones, not a substitute for official approval.
Define the degree you can actually use
Start with the qualification you want to gain, the subject you can evidence, and the language in which you can study. A taught master’s, an individual doctorate and a structured doctoral programme need different shortlists. Write a one-paragraph goal that connects your existing education to the proposed next step.
For every course, record its start term, duration, teaching language and stated subject prerequisites. Compare module content, not only the university’s reputation. A course with an attractive scholarship is not a good target when you lack mandatory credits. For a doctorate, separate advertised funded positions from supervisor-led proposals and structured programme competitions.

Check recognition before paying application fees
Compare your qualification against the university’s international-entry guidance. Record which certificates, transcript pages and grading-scale explanations are needed. Ask the admissions office about genuine ambiguities before you pay, using the programme name and your exact qualification title.
Do not convert your grades yourself and treat that number as an official assessment. Where a preliminary evaluation or a preparatory route is required, account for its lead time. Keep the requirement in writing and distinguish a missing document from a qualification that does not meet the admission standard. These are different problems and need different solutions.

Choose direct, uni-assist or VPD correctly
Open the application instructions for the exact course and applicant category. Some universities accept applications directly, some use uni-assist to process them, and others ask you to obtain a VPD before applying separately to the university.
A VPD is an evaluation document, not an admission offer. In the VPD route, completing the uni-assist request does not complete the university application. Maintain two checklist rows: “VPD received” and “university application submitted”. uni-assist recommends requesting the VPD at least eight weeks before the deadline; build in extra time for your own document corrections. Scholarly Circle is independent and is not affiliated with uni-assist.

Build a funding plan beside the admissions plan
Filter DAAD opportunities by your nationality, study stage and discipline. Read the scholarship’s experience, residence and return-home requirements before preparing essays. For course-linked schemes, confirm whether the scholarship application goes to the course, a central portal or another nominating body.
Add foundation and university funding only after checking that international applicants at your degree stage are eligible. Mark each opportunity as tuition support, living support, a full package or a variable award. A university admission deadline does not extend a scholarship deadline. Keep a realistic backup for costs that the award excludes rather than assuming a small grant will cover the whole degree.

Prepare a complete, consistent document set
Create a master folder containing your passport, certificates, transcripts, language evidence, CV and required references. Keep originals unchanged and save translations beside them. Follow the receiving institution’s requirements for certification rather than paying for unnecessary forms of attestation.
Tailor the motivation letter to the course’s teaching and your preparation. For research applications, connect your question to a feasible method and an appropriate academic host. Give referees the programme brief and a deadline earlier than the official cut-off. Name files clearly, check the upload limits, and open every final file on a second device to catch unreadable scans or missing pages.

Submit, then inspect the completion status
Submit early enough to respond to an avoidable technical problem. Pay official application charges through the authorised channel and retain the receipt. Download a copy of the submitted application, not just the draft you intended to submit.
Check the portal’s status after submission. “Account created”, “documents uploaded”, “processing” and “complete” are not interchangeable. Log any request for missing evidence, its due date and your response. Contact the official support team when necessary; repeated duplicate applications or unrelated emails rarely resolve a processing issue. Keep scholarship and admission confirmations in separate folders so one is not mistaken for the other.

Read the offer and calculate the remaining gap
Before accepting, list every academic, language, document and payment condition in the offer. Ask for clarification when a requirement is unclear. Check whether funding is confirmed, conditional, renewable or still pending.
Build a month-by-month first-year budget. Include tuition where applicable, semester charges, rent, the deposit, insurance, travel and initial living costs. Record when scholarship payments begin and whether you must pay expenses first. A planned part-time job is not the same as money already available for a visa or deposit. Decide whether the route remains affordable without an award that has not yet been granted.

Follow your study-visa and residence route
Use the German government guidance and the German mission responsible for your residence to identify the correct process. Prepare admission evidence, the accepted financial proof and required insurance and language documents. The study-route financial figure published for 2026 is €11,904 for the blocked-account option; verify the amount and accepted alternatives again before moving funds.
Do not confuse the study route with the separate route for seeking a study place, which has different conditions. Check appointment and online-portal instructions directly. Family members need their own eligibility review. Our support helps organise an application; it cannot replace a consular decision or personalised immigration advice from an authorised professional.

Arrive with an enrolment and settling-in checklist
Use the university’s arrival instructions to plan enrolment, accommodation, local registration and any residence-permit appointment. Bring originals and accessible copies of your admission and funding evidence. Keep the first weeks’ expenses available without relying on a stipend arriving immediately.
Check course registration, orientation, student services and any scholarship reporting duties. Store renewal requirements in your calendar at the start of the semester, including academic progress and funding conditions. A smooth arrival is an administrative project as well as a journey: assign each task a date, a responsible office and a document you can show when it is complete.

Questions worth asking.
Does a VPD mean I have been admitted?
No. It is preliminary review documentation. Where the VPD procedure applies, you must still submit the university application separately by its deadline.
Can I apply without German?
Some programmes are taught in English, but their admission rules and scholarship language requirements must both be checked. A foundation may require German even when the degree is in English.
Can I use the same deadline for every university?
No. Common July and January dates are planning references only. Courses, scholarship schemes and applicant categories can have different deadlines.
