Know the windows.
Plan the work before them.
These dates do different jobs. A typical window helps you plan; only the applicable official call sets your deadline.
12–15 months before entry
Compare programmes, qualification requirements, teaching language, supervisors and living costs.
Autumn / winter before entry
Many competitive master’s scholarships run alongside early admission rounds. Check the institution’s published calendar.

The budget.
The documents. The details.
Tuition and institutional fees
Check the fee category that applies to you and whether a fellowship waives it or contributes a fixed amount.
Living costs and housing
Use a city-specific budget and written housing quotes. A scholarship amount is not proof that every personal expense will be covered.
Immigration evidence
The representation / canton instructions determine the accepted evidence and process. Verify them before transferring funds or purchasing non-refundable travel.
Your starting document checklist
Use this to organise the file; the provider’s current requirements determine the final list.
- Passport and consistent legal name across your records.
- Degree or school-leaving certificate, full transcripts and grading scale; provisional evidence only where accepted.
- Programme-specific proof of language ability, including any approved waiver in writing.
- Academic CV, tailored statement and references where requested.
- Funding evidence and a personal budget kept separate from the admission documents.
- For research: a feasible project, academic references and the exact host-support documents requested in the current scholarship call.
- For degree admission: faculty-specific qualification and language evidence; certified or translated documents only as instructed.

One clear step
at a time.
Use the checklist to keep your own place. These are preparation milestones, not a substitute for official approval.
Choose the right academic route
Decide whether you need a bachelor’s degree, a taught master’s, an individual doctorate, a structured doctoral programme or a temporary research placement. Write that decision at the top of your shortlist. It determines the admission authority, the expected documents and the funding schemes you can sensibly pursue.
For a doctorate, compare an advertised paid position with a proposal-led route. Read what the position actually funds and whether formal doctoral admission is a separate stage. For a master’s, evaluate the course content and qualification match before investigating scholarships. A prestigious award with the wrong study purpose is not a suitable target.

Check qualification and language requirements
Use swissuniversities as an orientation point for qualification recognition, then read the institution and faculty requirements that apply to your exact qualification. Keep the awarding country, degree title, duration and subject background visible in your tracker. Do not substitute a general country guide for an individual admissions decision.
Record the language of teaching and the accepted evidence. A university may offer programmes in different languages with different requirements. Where a waiver is possible, obtain the applicable rule or written confirmation rather than assuming that previous English-medium education will be sufficient. Build the test or document lead time into your plan.

Build a shortlist around genuine academic fit
For each programme or research group, record the specific modules, methods, facilities or research questions that fit your goals. For research, read recent work and identify the contribution you could realistically make. A list of famous institutions without a clear fit is not yet an application strategy.
For a potential supervisor, distinguish research relevance from availability. Check whether the group advertises recruitment and whether the scholarship requires a particular form of host support. Ask a focused question with a concise CV and a clear project summary. Keep a record of replies, agreed next steps and any conditions attached to an expression of interest.

Match the scholarship to your nationality and purpose
Read the exact current scholarship category. For Swiss Government Excellence Scholarships, the country offer and research / arts category matter; it is not a general award for every taught degree. For university master’s awards, check eligible programmes, the correct admission round and the scholarship’s own application instructions.
Create a funding matrix showing tuition treatment, living support, duration and exclusions. Label anything unknown as unresolved. Separate automatic consideration from a separate form, nomination or host-backed application. Do not treat an institution’s scholarship page as confirmation that you personally qualify or that the current round remains open.

Develop the proposal and supporting evidence
When a research proposal is required, make the question narrow enough to address with the proposed methods, access and time. Explain the gap, why the host is appropriate, what data or materials you need and which approvals may be necessary. Include a realistic work plan and references to material you have actually read.
Ask referees early and provide the call, your CV and relevant work so they can make their own assessment. Check whether letters are uploaded by referees or included in the candidate file. Use your own qualifications, ideas and experience throughout; support from a consultant must remain within the provider’s rules on outside assistance.

Submit admission and funding files deliberately
Prepare separate checklists for the academic application and scholarship application. They may share documents but have different portals, signatories and deadlines. Confirm the timezone and whether the system must receive referee or host material by the same time as your submission.
Review the final uploaded files rather than relying on filenames alone. Check that the proposal, CV, transcript and forms use consistent details. Save the submitted version, receipt and any reference number. Monitor the official portal and your email for missing-document requests. A conversation with a professor or an uploaded draft is not a completed application.

Read the offer, award and contract together
Compare what has actually been offered with the plan you prepared. An admission offer may be conditional; a scholarship letter may cover only part of the total cost; a doctoral contract may have its own employment conditions. Read the start date, duration, progression rules and any required acceptance action.
Ask the issuing office about unclear tuition treatment, payment timing or a funding gap before committing. Keep a first-month cash-flow plan for housing deposits and expenses before the first payment. Accept only through the designated process and retain the final versions of the documents you will use for immigration and enrolment.

Follow the correct visa and residence process
Check the Swiss representation responsible for your place of residence and the entry rules for your nationality. Use the university’s international office to understand the local canton and enrolment steps, but confirm immigration requirements with the competent authority.
Build the file from the current official checklist, including the applicable admission, funding and accommodation evidence. Do not rely on another applicant’s financial threshold, appointment location or processing time. Keep your study purpose consistent across the application, offer and immigration documents. Avoid non-refundable travel commitments before you have the required permission and an acceptable arrival date.

Settle in and protect your funding continuity
Use the university’s arrival checklist to complete registration, insurance, housing and any local residence formalities. For employment-linked doctoral study, confirm the separate HR and academic registration tasks. Save important contacts and document renewal dates in one place.
Track the conditions that keep your funding active: enrolment, progress reports, academic results, host confirmation or other award-specific obligations. Ask before changing your programme, host or study pattern. Budget beyond the first semester and start renewal work early. A successful arrival is the beginning of the study plan, not the end of the administrative process.

Questions worth asking.
Does a Swiss Government Excellence Scholarship fund any master’s degree?
No. Award categories and country eligibility are specific. Most routes are research-focused; selected arts awards have distinct conditions.
Is a supervisor’s positive reply an admission offer?
No. Keep host support, formal admission, employment and scholarship decisions separate.
Are all doctoral opportunities scholarships?
No. Some are salaried research positions with employment contracts. Read the actual vacancy and funding terms.
