Understand the purpose
A VPD is preliminary review documentation issued through uni-assist for universities that use that route. It is not an admission decision. The key practical point is the hand-off: after obtaining the VPD, you still need to complete the university’s own application as instructed.
First confirm that your programme actually requires a VPD. Some universities use a different uni-assist process and others accept direct applications. Use the university’s current programme instructions to identify the route; do not request a VPD merely because another German university asked for one.
Build a two-part checklist
Create one checklist for the uni-assist request and another for the university application. Record which documents belong in each, the relevant university, fees where applicable and the final deadline. Mark any reference number or document that must move from one process to the other.
Keep the qualification and personal details consistent. If the university requests additional subject-specific evidence, such as course descriptions or a portfolio, the VPD does not remove that requirement. The academic selection process remains the institution’s responsibility.
Allow realistic processing time
The uni-assist guidance reviewed for this article recommends requesting a VPD at least eight weeks before the relevant deadline. This is a planning lead time, not a guarantee that every case will be finished in a fixed period. Missing or incorrect documents can create further work.
Work backwards from the university’s deadline, not from the date you would prefer to submit the VPD request. Add time to inspect the issued document and complete the separate university application. A request made before the deadline is not necessarily the same as a completed university application.
Review the result and finish the hand-off
Read the VPD and check the details against your records. Follow the university’s instructions for uploading or referencing it. Save the final university submission receipt and monitor the portal for additional tasks or decisions.
If there is an error or a document problem, contact the responsible organisation with the application reference and a precise description. Avoid sending repeated general messages to multiple offices. Keep a dated record of the issue and the advice received.
Avoid the common assumptions
Do not treat a VPD as a scholarship, a visa document that guarantees entry or an admission offer. Do not assume one university’s requirements apply to every German programme. Do not pay an unofficial party on the belief that it can issue the VPD or influence the assessment.
Optional application support can help organise documents and track the two processes, but the official organisations make the decisions. Your final readiness test is straightforward: have you completed the correct university application, with the required VPD and all other evidence, by the applicable deadline?
Provider instructions take precedence. A typical annual window is not a confirmed deadline for your intake.
